Job Description
An Executive Secretary provides high-level administrative support to executives and senior management, ensuring that office operations run efficiently and effectively. They handle a wide range of tasks, including managing schedules, coordinating meetings, preparing reports, and handling correspondence. Their role requires a combination of organizational, communication, and problem-solving skills.
Responsibilities
- Manage executive calendars, schedule meetings, and coordinate appointments
- Prepare, edit, and format reports, presentations, and correspondence
- Handle confidential information with discretion
- Coordinate internal and external communications on behalf of executives
- Organize and support meetings, take minutes, and follow up on action items
- Perform general administrative tasks as required
Requirements
- Bachelor’s degree in Business Administration, Office Management, or related field
- Proven experience (1-2 years) as an Executive Secretary or Executive Assistant
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and work under pressure
- High level of professionalism, integrity, and confidentiality
- Strong attention to detail and problem-solving skills
- Experience working with C-level is a plus
- Knowledge of office management tools and procedures
- Ability to work independently and in a team environment
- Strong interpersonal skills and customer-service mindset
